Frequently Asked Question (FAQ)

P-EDMS stands for PETRONAS Engineering Data Management System. It is mostly used as a document and data management tool with data visualization capability.

P-EDMS has three main modules, which are:

  • Project Module, a data & document management tool used by Project Team.
  • O&M Module, a data & document management tool used by Plant/Facility O&M team.
  • Specialized Solutions Module, a customized solution for a work process digitalization or to address specific user pain points.

P-EDMS also includes engineering design tools such as Smartplant PID (SPPID), Smartplant Instrument (SPI), Smartplant Electrical (SPEL), and Smart 3D (S3D).

P-EDMS is commonly used to manage data and document. It is capable of document control, review cycle workflows, integration with engineering design tools, data contextualization and visualization. With P-EDMS in place, user can track document review and approval status, revisions, manage document transaction, view connections between equipment tag numbers and drawings, visualize 2D and 3D models with data.

P-EDMS with its robust workflow engine can also be customize to solve specific pain points by having digital work process in place.

P-EDMS subscription cost depends on the category of site required. 

  • For Project sites, the cost is dependent on expected document number and years of subscription.
  • For O&M site, the yearly subscription cost is dependent on the facility size.
  • For specific solutions, the cost depends on the complexity of developing and maintaining the tool.

P-EDMS can integrate and/or be integrated with other enterprise application by using Application Programming Interface (API).

P-EDMS can be setup to allow access for Third parties such as Contractors, with a separate external user license subscription.

Please contact our Focal Person at the Contact Us page. They will engage the requestor to gather requirements and detail out the process.

P-EDMS allows for keyword search. Type in your keywords in any of the InSights Search filter bar. Use the column filter to refine your search results.

This is probably due to :

  • the file size is big (>200MB)
  • there is a lot of pages in the documents
  • Poor internet connection. You may want to check the connection or try refreshing the page

 If you received this error, means either you don’t have access to the site yet. Request access following below steps:

1. Navigate to https://pedms.petronas.com/UserCenter/Access

  1. Click on "Access Form" to download form.


 

  1. Fill in the form. Section with * is compulsory.
  2. Email the filled form to ict.servicedesk@petronas.com.my

This is due to user configuration setting not set properly. Follow below steps to set the user configuration:

  1. Click on the Query Tab
  2. Tick on the “Active” Checkbox under Status Filters section
  3. Tick on the “Project / Site Name” checkbox under Query section
  4. Enable the “Create” button under Query section
  5. Click on the “Save” button
  6. Click on th ROLE tab
  7. Tick on "Select All" checkbox
  8. Click on the 'Save' button

You can only access site(s) that you already have access to. Other sites access will be granted upon request, subjected to Site Owner approval.
To request for access, fill in the access request form in our Request Access page and email to our support at ict.servicedesk@petronas.com

Yes, but other browsers may not be fully compatible. We recommend using Google Chrome or Microsft Edge as the main browser when accessing P-EDMS.

Yes, Approver can add markup layer. However, the comments will not be captured in Comment Response Sheet (CRS). 

Please inform Consolidator to reconsolidate the markups to capture your comments in the CRS as well. You may do this by rejecting the document, or informing the Consolidator offline.

Yes, you can amend the markups in your markup layer. However if changes are done after consolidation is complete, the amended comments will not be captured in Comment Response Sheet (CRS).

Please inform Consolidator to reconsolidate once you have amended your markup layer to ensure comments are captured in CRS.

No, you can only edit your own markup layer.

You can ask Consolidator or Document Controller/Admin to re-assign the role to you.

This is due to Microsoft Information Policy that is deployed by CyberSecurity team. You need to change the file sensitivity classification to 'Internal use/Authorize for External Distribution'. Follow this steps:

  1. Generate CRS or eTRM from P-EDMS
  2. Once the file is opened, save as in the format of Excel Macro-enabled workbook (.xlsm).
  3. Change the sensitivity classification by clicking the shield icon beside filename on the header. In the pop-up window under Sensitivity label, choose Internal Use > Authorize for External Distribution.
  4. The file can now be shared with Contractor/Vendor via email.

Yes. Select the To-Do-List by clicking the checkboxes beside your To-Do-List, or clicking the "All" option on the top left screen if you want to complete all TDL. Click Action button. Under Task tab, click Action and click on Complete. Click OK on the pop-up box.

For first time user, please install UPV based on your operating system, and allow CaXperts pop-up in the browser setting.

For regular users, please check the status of the model and url and try to reload by clicking the link  from the website.

Option 1: Using UPV Viewer
Click on 3D Models tab at P-EDMS Official Site. Navigate to the 3D model by Map or List. Click on the link under the desired 3D model.

First time user is required to install CAXperts UPV viewer prior to clicking on the model link.

Option 2: In P-EDMS O&M Module

Login to OPU O&M module. Click on the 3D model button from the OPU site landing page. No installation required.

Note: Loading time dependent on model size and complexity, as well as user network performance.
